What you'll accomplish
By the end of this guide, you'll have ChatGPT Plus set up with your brand's voice, content pillars, and rules stored permanently — so every time you open it, you can batch 20-30 posts at once without re-explaining the brand. What used to take 4 hours will take under 1 hour.
What you'll need
What you should see: The interface looks the same but you now have access to GPT-4o and the Custom Instructions feature.
What you should see: Two input boxes: "What would you like ChatGPT to know about you?" and "How would you like ChatGPT to respond?"
This box stores who you are and your context. Fill it in like this:
I'm a social media coordinator managing content for multiple brand accounts. I batch content calendars monthly and need platform-specific captions for Instagram, LinkedIn, TikTok/Reels, Facebook, and Twitter/X.
Add the specific brand you're setting this up for (note: one set of custom instructions applies to all conversations, so set it for your primary account or the one you batch most):
Current primary account: [Brand Name]. Brand: [one sentence description]. Audience: [who they are]. Content pillars: [list them]. Posting frequency: [X posts/week per platform].
This box controls ChatGPT's behavior. Use this template:
Always write in [Brand Name]'s voice: [describe voice — e.g., "approachable and witty, never corporate or stiff"]. Never use the phrases: [list any forbidden words/phrases the brand avoids]. Always vary emoji usage — never repeat the same emoji in back-to-back posts. When writing platform-specific captions, always label them clearly: Instagram:, LinkedIn:, TikTok:, Twitter/X:, Facebook:. Default caption format: hook → value → CTA. Keep hashtags separate at the end, labeled Hashtags:.
Click Save.
Troubleshooting: If you can't find Custom Instructions, make sure you're logged into your Plus account (not a free account). The feature appears in the profile menu when Plus is active.
Open a New Chat → type: "Write a test caption for a product photo of our best-selling item ([describe the item]). Give me versions for all 5 platforms."
Read the output carefully. Does it sound like the brand? Does it follow the formatting rules you set? If not, go back to Custom Instructions and tighten the voice description. Add 2-3 example posts and say "Match this voice exactly."
Open Google Sheets → create a content calendar with columns: Date | Platform | Topic | Key Message | CTA | AI Draft | Final Draft
Fill in the Date, Platform, Topic, and Key Message for all 20-30 posts you need this month. Leave AI Draft and Final Draft blank.
In a new ChatGPT conversation, paste your full topic list and use this prompt:
Here is my content calendar for [Month]. Generate platform-specific captions for all posts below. For each entry, write captions for the platforms listed. Follow brand voice and formatting rules from my custom instructions.
[Paste the table: Date | Platform | Topic | Key Message]
ChatGPT will generate all captions in a single long output. Copy them into your Google Sheet AI Draft column.
What you should see: 20-30 post drafts in brand voice, formatted by platform, ready for review.
Troubleshooting: If the output cuts off mid-batch, type "continue" — ChatGPT will pick up where it left off.
Read through all drafts. Mark any that need adjustments. For captions that are close but not quite right, highlight them and ask: "Rewrite this caption for [platform] — it needs to feel more [specific issue, e.g., 'less formal'] and include [missing element]."
Weekly batch (5 posts, all platforms): "Generate this week's posts for [Brand]. Topics: [list]. I need Instagram, LinkedIn, and Twitter/X captions for each."
Campaign launch (all assets): "We're launching [campaign name] on [date]. Write all social content: 3 Instagram posts, 2 LinkedIn posts, 1 Twitter thread (6 tweets), and 3 Story text ideas. Campaign message: [key message]. CTA: [link]."
Holiday content (quick batch): "Generate 5 posts for [Brand] around [holiday]. Mix product relevance with genuine [holiday] spirit. Avoid being too sales-y. Include hashtag sets."
Repurpose a specific piece: "Turn this blog post into a full social content package: 4 Instagram captions, 1 LinkedIn long-form post, and a 5-tweet thread: [paste article]."
A/B testing variants: "Write 3 versions of this caption with different angles — urgency, social proof, and aspiration. Keep them all under 150 chars: [original caption]."
